Internal Management and System

As per the Memorandum of Association, the Secretary is the Chief Functionary of the organization, while the Governing Body (GB) is headed by the Chairperson. Regular GB meetings are conducted to discuss matters related to development programmes and organizational governance. The Secretary is authorized to appoint various functionaries for the smooth implementation, supervision, and monitoring of organizational activities and projects. The organization has established a structured project follow-up and monitoring committee that reports directly to the Secretary, and its findings are subsequently reviewed by the Governing Body. The operational team includes the Chief Executive Officer, Project Director, Coordinators, Accountants, Supervisors, Team Leaders, and Field-Level Functionaries, with clearly defined roles and responsibilities at every level. All programmes are systematically documented and incorporated into the organization’s annual report. Financial transactions are carried out through joint signatories, and payments are generally made through crossed cheques or demand drafts to ensure transparency and accountability. A separate procurement team manages the purchase of goods and materials. Prior to any procurement, quotations are collected and submitted to the Secretary for approval before purchase orders are issued.

Decision Making Process

Although the Secretary is authorized for taking decisions, the organization has adopted a transparent and fair decision-making process.

Proper discussion takes place before taking any decision. During this exercise, whenever required, the advice and participation of experts are also ensured.

Roles & Responsibilities

2 Vice Chairman Represents the Chairman in his/her absence.
3 Secratry Planning development programmes of the organization in consultation with the Chairman and members of the Governing Body. The Secratry invites suggestions and views of important functionaries and is also responsible for liaisoning with Central and State Governments.
4 Treasurer Responsible for managing the organization’s financial activities, maintaining accounts and financial records, preparing budgets and financial reports, monitoring expenditures, and ensuring proper utilization of funds in compliance with organizational policies.
5 Chief Executive Officer Designing, monitoring field level research and studies, project implementation, planning, training of field functionaries, coordination with government departments and donor agencies, and final report writing.
6 Project Director Responsible for coordination and supervision of field staff, supporting progress reports, evaluation/training work, and representing the Secretary whenever required.
